Which supplier should get which request?

Not every supplier will have every document. An ingredient supplier, packaging supplier, fragrance supplier, private-label manufacturer, and finished-product manufacturer can each hold different information. The workbook should help you send the right request to the right contact.

Subject: Follow-up on documentation request for {Product or Ingredient Name}

Hello {Supplier Name},

I wanted to follow up on my request from {Original Request Date}. We are organizing our internal product records and still need clarification on {Specific Missing Items}.

If some documents are not available, could you please confirm that as well? A short written answer is still helpful for our records.

Thank you,

When to ask your manufacturer more

If you use a private-label or contract manufacturer, ask who handles product listing data, which facility information is available, how batch records are maintained, and who receives and escalates product complaints. Keep their answers tied to the products you sell.

Manufacturer questions to add to the email

  • Who manufactures or processes this product?
  • Where is the product manufactured or packed?
  • Is facility information available for our internal records?
  • Who maintains batch records and lot traceability?
  • Who handles product listing data, if applicable?
  • Who should receive product complaints or adverse-event reports?
  • Are there label, claim, ingredient, or use limitations we should know about?
